Cancellations & Refunds Policy

Skills Development Programs:  Cancellations to any registered program must be requested 2 weeks prior to the first day of the session for an eligible refund.   All refunds will be subject to a $35.00 cancellation fee.   Requests within the 2 week period or during the session will only be considered if extenuating circumstances apply.  All requests need to be in writing (email).

Competitive Programs:  The competitive program is a full 10/12 month commitment, regardless if paid in full or on installment plan. If a registered player leaves before the program ends for personal or other reasons, they will still be responsible for full payment of fees.  If Ace is able to fill your vacant spot, then remaining fees will not be charged.  All requests are to be in writing (email) and to be arranged through our administrative manager only.   Missed sessions due to sickness, injuries, vacations, weather or other reasons are not reimbursed.  All efforts are made to provide an opportunity for make-up classes within the program, if space is available.  You can discuss with your coach for more information.

Summer Camps:  Cancellations to any registered camp must be requested 2 weeks prior to the first day of the camp to be eligible for a refund.  All refunds will be subject to a $35.00 cancellation fee.  Individual camp days missed for any reason cannot be refunded or credited.

Rain Policy:

Camps may be cancelled in the event of rain. Our staff will monitor weather and notify parents/guardians to coordinate pick up for their camper. Due to covid-19, at this time we will not have access to indoor facilities at community clubs (with the exception of the All Canadian Tennis Centre at HSC), therefore campers must be picked up as soon as possible.

Rain Credits:

  1. If a session is cancelled (morning/afternoon) prior to a rain out we will attempt to schedule a make-up session/credit your account for that session.
  2. If a session runs for less than 20 minutes prior to a rain out, we will attempt to schedule a make-up session/credit your account for that session.
  3. If a session is over 20 minutes prior to a rain out, you will be charged for the full session, however we will attempt to schedule a make-up session.

Heat Policy: Decision to allow child to attend camp is parental discretion. Coaches will do their best to keep children safe and avoid heat, take as many breaks as possible when needed.

Bullying Policy: Bullying of any kind will not be tolerated at any ACE Tennis program/camp.   In general, a “three strikes” policy is followed.  Upon receiving a 1st strike the participant will be made aware of the infraction.  Strike 2 will involve parent notification.  Strike 3 will be immediate expulsion from the program/camp.

Nut-free Environment: All lunches and snacks brought by campers must be nut-free.
